Managers are reminded that all original documents (i.e. performance reviews, signed job descriptions, etc.) should be submitted to Workforce Management for the official employee personnel file. While managers are encouraged to retain a copy of such documents for reference and discussion with employees throughout the year, they are reminded to be mindful of the confidentiality of such documentation. In all instances, the confidentiality of employee information should be protected. Copies of documentation should be disposed of via shredding. Questions regarding the creation, retention, and disposition of any employee record should be directed to Cherryl Avera in WFMO at 247-1715.
Managers should refer to the following links when requesting to fill a position. You will find information on writing job descriptions, job class codes, job reclassification requirements, and completing a Personnel Request Form (PRF).
An approved Personnel Request Form (PRF) will prompt the posting of a position in TulaneJobs; will grant approval for a Faculty hire or search; or will grant approval to begin the Search Waiver process. You will find information on using the TulaneJobs Employment System, reviewing applicants, and more. Search Waiver requests should be handled with the Office of Institutional Equity directly.
Once a candidate has been identified, approved for hire and accepted the position, Employment will return, via PeopleFlow, a Payroll Action Form (PAF) to the original Personnel Request Form (PRF) Initiator for completion. Initiation of the New Hire PAF will trigger the creation of an e-mail account and Tulane ID number. After receiving required approvals, the PAF will be held in Orientation until the new employee has attended Orientation and completed necessary paperwork. Once the Orientation process has completed, or if it is not required, the PAF will be forwarded to Payroll for final processing and addition to the Workforce Management Payroll database.
