Important Information for 2013 & 2014 FSA Participants

WORKFORCE MANAGEMENT ANNOUNCEMENT

Dear FSA Participant,

Beginning January 1, 2014, administration of the Tulane University sponsored Flexible Spending Account (FSA) Plan will move to a new system supported by WageWorks, Inc ("WageWorks"). WageWorks is the market leader in FSA administration. 

IMPORTANT INFORMATION FOR THOSE WITH 2013 FSA PARTICIPANTS:

Healthcare FSA:

  • The current FSA administrator, Benefit Concepts, Inc., a division of WageWorks will continue to administer claims for the 2013 plan year.
  • Your Benefit Concepts My Care Card may only be used for 2013 plan year Health Care FSA claims and will be deactivatedon December 31, 2013.  After this date, claims should be filed with Benefit Concepts, Inc. online at mybenefits.benefitconcepts.com or via fax/mail. 
  • You have until March 15, 2014 to incur expenses against your 2013 Healthcare FSA.
  • All claims against your 2013 FSA plan(s) must be submitted to Benefit Concepts, Inc., a division of WageWorks by April 30, 2014.

Dependent Care FSA:

  • You have until December 31, 2013 to incur eligible expenses against your 2013 Dependent Care FSA.
  • All claims against your 2013 FSA plan(s) must be submitted to Benefit Concepts, Inc., a division of WageWorks by April 30, 2014.

IMPORTANT INFORMATION FOR THOSE WHO HAVE ENROLLED IN A 2014 FLEXIBLE SPENDING ACCOUNT:

  • WageWorks will administer the Tulane University sponsored FSA program beginning with the 2014 Plan Year.
  • You will receive a new WageWorks Health Care Card in December. You will also receive a Quick Start Guide containing information on how to access and use your account.
  • You may access your 2014 account and use your Card and/or submit claims beginning January 1, 2014.
  • If you currently have direct deposit reimbursement set up with Benefit Concepts, Inc., a Division of WageWorks for your 2013 FSA, this information will transfer to the WageWorks system for your 2014 FSA.
    Following the transfer of your direct deposit information, WageWorks will complete a pre-note process to ensure the account is active. If you file a claim during this time, you may receive a paper check for your reimbursement. Once the account has been confirmed, all future reimbursements will be directly deposited into your account.

THE BENEFITS OF A WAGEWORKS FSA:

  • The WageWorks® Health Care Card offers a great deal of convenience when paying for your eligible health care expenses. There is no cost for ordering additional cards (you can request them at www.wageworks.com), and it is free to use – no matter how often you use it!
  • Use the "Pay My Provider" option to pay many eligible health care and dependent care expenses directly from your FSA (Documentation is required).
  • In addition to faxing or mailing your claim form and using your Card, you can download the EZ ReceiptsTM mobile application. Use your smartphone to file claims and take care of your account paperwork from anywhere. Go to www.wageworks.com/aboutmobile to learn more.

WHAT ACTIONS SHOULD I TAKE STARTING JANUARY 1ST:

  • Register for an online account at the new website starting January 1, 2014 –The WageWorks web site offers many enhanced features. We encourage you to register online and provide a current email address. This will ensure you have 24/7 access to receive up-to-date account, claims status information, set-up direct deposit reimbursements and access to account activity statements. Go to www.wageworks.com and click "Register with WageWorks now!"
