1. When is the 2016 Faculty/Staff Day of Service?
Thursday, March 24 (the Thursday before Good Friday). Registration will open at 7:45 a.m. The first buses will depart at 8:15 a.m.
2. Do I have to take a vacation day to participate in the Day of Service?
No, there is a special pay code in the Kronos system created for the Day of Service (see question #4). The Day of Service will not count against your vacation or sick hours.
3. Do I have to let my supervisor know that I am volunteering?
Your supervisor must approve your participation. You should discuss with him or her whether it is feasible for you to participate before you register for the event. Supervisors will receive a list of their registered staff prior to the event. Supervisors will also receive an email after the service day listing those employees who participated.
4. Do exempt and non-exempt employees have to log their time in Kronos?
Yes. Both exempt and non-exempt employees should log their time for the Day of Service by submitting a request for time off in Kronos and selecting the pay code “Day of Service,” or by using your department’s internal method for requesting time off. 5. Where will we be volunteering?
We will be working with Arc of Greater New Orleans, City Park, Second Harvest, Habitat for Humanity and Youth Rebuilding New Orleans.
6. Can I select a specific work site?
You can select a preference for indoor or outdoor work, but we are not able to guarantee specific site selections. The earlier you register, the better your chances are of getting your indoor/outdoor preference.
7. I want to participate but have limitations on the type of work I can do. What should I do?
Most of the work will require volunteers to be able to lift a certain amount of weight, stand for long periods of time and/or work in the heat. Please contact email@example.com if you have specific needs, and would like to see if you can still volunteer. If you are unable to volunteer at a service site, you can assist with registration in the morning.
8. When will I find out where I am working?
You should receive a confirmation email containing information about your service site within two weeks of registering. You will receive a second email/Outlook invitation the week before the service day.
9. Can I drive myself to the service site?
No. Volunteers must check-in at Turchin Stadium and ride the buses to the service site.
10. Can I leave things on the bus while I am volunteering?
No. Buses will leave the service sites after dropping off volunteers. Every effort will be made so that the same bus picks up the same volunteers, but it is not guaranteed.
11. What should I wear?
Generally, participants should wear closed toed shoes. For those working outside, we recommend you wear a hat, sunscreen and bug spray. You will receive more detailed directions in your registration confirmation email. At check in you will receive a commemorative Day of Service T-shirt, which you are encouraged to wear that day. There will be bathrooms available at check in so that people can change into their shirts.
12. What special instructions do I need for my service site?
Representatives from the community organization you are assisting will provide you with a brief orientation/training when you arrive on site. Each site will also have an assigned Tulane University Site Captain, who will meet your bus at the service location. Tulane Site Captains can direct you to restrooms, water and snacks plus answer any questions you might have.
13. What is the overall schedule for the day’s events?
Buses will begin to depart at 8:15 am. The last bus will leave campus at 8:45 am. Faculty and staff will work at their site from 9 am until 1:30 p.m. Buses will return to campus for the 2 p.m. BBQ at Turchin Stadium.
14. What happens after the celebratory lunch? Do I need to return to my regular job?
In recognition of their service, volunteers are free to leave for the day following the celebratory lunch. You do not need to return to work.
