Timetable for Third-Year Reviews (Assistant Professor, Tenure-Track Faculty)

Candidate uploads into Interfolio the entire dossier and forwards it to the Department via Interfolio (by clicking “Submit Packet” button). The entire dossier consists of: the research dossier (CV in P&T format, five-year research plan, publications/works ordered and numbered as on the CV); the teaching dossier (teaching statement/philosophy and plans, course evaluations, sample syllabi from each level of courses taught); and the service dossier (service statement/philosophy), if any. Candidate also submits 2 hard copies of any dossier materials that could not be uploaded into Interfolio.      
September 18   Department forwards to P&T via Interfolio (by clicking “Send Forward” button, then “Confirm” button): Departmental recommendation letter, classroom/teaching observation report, and candidate’s entire dossier. Department forwards to P&T via SLA Dean’s Office 1 hard copy of any materials that could not be uploaded into Interfolio.

Timetable for Promotion to Associate Professor with Tenure & Promotion to Full Professor Reviews

April 8 Candidate uploads into Interfolio the initial dossier and forwards it to the Department via Interfolio (by clicking “Submit Packet”  button). Initial dossier includes the CV in P&T format, one-paragraph overview of research area(s) and orientation, short list (no more than 4) of potential external evaluators, and short list (2-3) of scholars to avoid (if any) with rationale. (A form is included in Interfolio to insert potential evaluators or scholars to avoid.) Department begins to solicit its external evaluators; at least 4 qualified scholars need to agree to review the candidate’s research or creative dossier. When soliciting, Departments should use text from “Sample Instructions to External Evaluators” on SLA’s website.

(Department should offer external evaluators digital files of the candidate’s dossier; a hard copy can be provided if the external evaluator requests it. Prior to August, Department notifies candidate of the number of dossier copies the candidate must prepare by the August submission date. A minimum of 4 copies of the dossier must be mailed (hard or digital media copies) or emailed (e.g., via Tulane Box account shared link) by the Department to its external evaluators.)
     
April 29
  Department has identified its evaluators and uploads into Interfolio the list of external evaluators the Department has solicited, noting who (Department, candidate, others) suggested each evaluator and each evaluator’s response; and a short list (3-4) of potential external evaluators the Department suggests for P&T.

(Assuming Interfolio upgrades allow dual committee viewing,

the Department should NOT select to “Send Forward” the case file in Interfolio at this point, as the P&T Committee should be able to see Department’s and candidate’s uploaded documents. In case Interfolio upgrades are not completed by this time, the SLA Dean’s Office liaison will notify Department if it must “Send Forward” the file to the P&T Committee stage in Interfolio.)
P&T Committee begins to solicit its external evaluators, aiming for 3 qualified scholars to agree to review candidate’s research or creative dossier. When soliciting, P&T should use text from “Sample Instructions to External Evaluators” on SLA’s website.

May 30     P&T Committee has identified its evaluators.    
August 18 Candidate submits via Interfolio the research/creative dossier (including updated CV as needed, five-year research plan, and publications/works ordered and numbered as on the CV). Candidate also submits 2 hard copies of any dossier materials that could not be uploaded into Interfolio; 1 copy is for the Department and 1 is for the P&T Committee. At least 7 additional copies of the research/creative dossier are required for external evaluators; each, the Department Committee and the P&T Committee, should have notified the candidate of the number of hard and digital copies required for each committee’s external evaluators. Department forwards to P&T via the SLA Dean’s Office 1 hard copy of any candidate materials that could not be uploaded into Interfolio. The Department also forwards 3 research/creative dossiers in hard or digital copy format (as previously requested by P&T for its external evaluators) to P&T via the SLA Dean’s Office.      
August 28

Department sends research/creative dossier to external evaluators; due date is Oct. 14.

(The template letter “Sample Instructions to External Evaluators” on SLA’s website is required to accompany the candidate’s dossier when the Department sends the dossier to evaluators. Departments should revise only basic information (e.g., department name/ address, candidate’s name/department, the relevant rank/title under review).)
P&T sends research/creative dossiers to external evaluators; due date is Oct. 30.    
October 14 Candidate submits to Department via Interfolio: the teaching dossier (teaching statement/philosophy and plans, course evaluations, sample syllabi from each level of courses taught); and, as required: the service dossier (service statement/philosophy) and dissertation.  Candidate also submits 2 hard copies of any materials that coudl not be uploaded into Interfolio; 1 copy is for the Department and 1 is for the P&T Committee. Department receives all evaluation letters with CVs, and uploads them into Interfolio.      
October 30     P&T receives all its evaluations    
November 6   Department forwards to P&T Committee via Interfolio (by clicking “Send Forward” button, then “Confirm” button): the Departmental recommendation letter, classroom/
teaching observation report, all external evaluation letters with CVs, 1 (sample) copy of the letter sent to external evaluators, and the candidate’s teaching and service dossiers and dissertation. The Department also forwards to P&T via the SLA Dean’s Office 1 hard copy of any materials that could not be uploaded into Interfolio.
     
February 5     P&T recommendations for promotion to Associate Professor with tenure are due to SLA Dean.    
February 26       Tenure Review materials Submitted to Provost.  
March 18
    P&T recommendations for promotion to Full Professor are due to SLA Dean.    
April 8
      Promotion Review materials Submitted to Provost.
